Short definitions of core BigBoard concepts. Wording may evolve as the product changes.

Season

A time-bounded period for an organization’s program (start/end dates, labeled, with a day-by-day calendar). Scheduling data such as trip sessions is scoped to a season; seasons can be locked to prevent edits.

Trail staff

A field staff member represented by a trail staff profile in an organization (name, hire seasons, optional email and preferences). Trail staff usually have the Trail Staff user role and appear on the schedule for assignment to trips and events. They are distinct from office users (admin/editor/viewer) who manage configuration and scheduling. Organizations may disable collecting trip gender (cohort) preferences for staff; see Disabling gender-based trip assignments.

Trip type

A template for a category of trip: name, staffing and participant expectations, optional activity link, and which seasons it is active in. Trip sessions are created from a trip type.

Trip session

A single scheduled instance of a trip type within a season: start/end dates, linked trip type, and a set of trips split across All Gender / Female / Male counts. Status reflects how fully those trips are assigned.

Trip

One assignable unit belonging to a trip session—same trip type and date range as its session, with a gender cohort and its own staff assignments (and optional notes or driving details). Creating a trip session generates one or more trips.

Event

A non–trip-type schedule item (e.g. training, certification, transportation) created from an event type, with its own dates within a season and assignable staff. Events appear alongside trip sessions on the Builder but use a separate “New Event” flow.
